| Can I have more than one roster? |

Absolutely! This depends entirely on your needs and
requirements. Some offices have decided so setup different
rosters for different areas of expertise.

have another roster for our office? |

If you already have an existing roster in your office,
please contact your Federation Administration to create a
new roster for you. If your office does not have an
existing WIDE Roster, please contact Gabriele.Kodura@undp.org |

| How frequently should a profile be updated? |
| |
In principle we recommend every six month to one year. |
|
| What exactly is the work list? |
| |
The work list is functions as a “to do list”. As long a profile of a consultant is not completed (based on your pre-set requirements) it should remain on the work list. |

| How long do I keep a profile on the
work list? |
| |
Once a profile is completed you should make the
consultant and active member of the roster. |
|
| How do I make a profile active? |
| |
Go to “status and activity”log. (icon with the little
hammer), click on “active” and then remove the check mark
from “work list tracking” to take the profile off the work
list. |

| What do I do if a consultant does not
fill out or complete his/her profile? |
| |
Send a reminder e-mail. If the consultant still has not
completed the profile, send another reminder e-mail with a
deadline. If there is still no response, you might want to
inform the consultant that if the profile is not completed
within the next two weeks, it will be removed from the
roster. |

| Can I delete/remove a profile from the
roster? |
| |
Yes, you can delete a profile but we don’t recommend it
unless it is a test record or a double entry. For all other
profiles we recommend making it “non active” instead of
deleting it all together. It is always better to keep a
record for possible reference later on. |

| Do I need to use the recommender
function? |
| |
No, the recommender function is not mandatory. Some
offices decide to a prescreening of the candidates before
inviting them to join the roster. |
|
| How many recommendations/references are
necessary to make a consultant become an active member of
the roster? |
| |
Anywhere from 2 to 3 recommendations/references seem to
be the standard. Some offices prefer to have at least one or
two recommendations from within the UN system. |

| Do I need to approve a
recommendation/reference? |
| |
Yes, every recommendation needs to be approved in the
“recommender work list”. Please refer to the user manual. |
|
| Can I delete a recommendation? |
| |
No, the system does not allow for deleting of a
recommendation. Every recommendation that has been submitted
will be retained in the system. You have the option of not
approving it by selecting “disregard” instead of “OK”. |

| What do I do if a recommender that not
respond to a request for recommendation? |
| |
The Evaluation Office has come up with a great standard
form for requesting a reference. Recommenders have been more
responsive to a form with pre-defined questions.

| How do I go about screening new
consultants? |
| |
Every office has setup their own mechanism for screening
of new consultants. One way of screening is through the
recommender function. You can request two to three
recommendations/references and make them part of the
consultants profile. Some offices have set up screening
panels to evaluate a consultants CV and see if he/she meets
the qualifications for the profile of the roster. The system
is flexible enough to accommodate whichever way you decide
to go. |

| What can’t I see my consultants/exerts
in the external search? |
| |
Only active profiles of consultants are visible in the
External Search. If the status is either non active or
unvetted, the profile will not show on the external search. |
|
| What do I do if a consultant already
exists in another roster? |
| |
You can either create a second record or you can import
the consultant from the existing roster. |
|
| How do I import a consultant from
another roster? |
| |
Go to Admin Search and then select “advanced search”.
Enter the name of the consultant, select Roster: “all
rosters” Status: “all” and then click on “search”. Next you
should see the record of the consultant you want to import.
Click on the import icon to import the existing record into
your roster. |

| If the record of a consultant is shared
with another roster, can the other roster manager see any
confidential notes in the status and activity log? |

No! The comments in the status and activity log will not
be shared with other rosters even if you share the record of
the consultants. Your CV comments are only visible to others
is if chose this option in the public search policy. |

| If the record is shared, will the other
roster manager be able to see my recommendation and
references? |
| |
No, unless you make this option available in your roster
configuration under public search policy. |
